Terms of Service

These Terms apply when a customer purchases or uses services supplied by AJ FlowWorks.

Specific projects may also have a written quotation, proposal, statement of work or other agreed project description. Where applicable, those documents form part of the agreement between AJ FlowWorks and the customer.

AJ FlowWorks provides practical business systems and workflow support that may include:

• Business workflow reviews
• Customer enquiry processes
• Customer management systems
• Quotation and invoice workflows
• Customer follow-up processes
• Administrative workflow automation
• Email and business communication templates
• Business performance dashboards
• Implementation and ongoing system support

The exact services included in a project will be confirmed before work begins.

AJ FlowWorks may offer an initial workflow review without charge.

The review is intended to help understand the customer's current administrative processes and identify possible areas for improvement.

Requesting or receiving a free workflow review does not require the customer to purchase a paid AJ FlowWorks service.

The AJ FlowWorks Business Starter System is a defined implementation package intended for small businesses.

The standard setup price displayed by AJ FlowWorks is £499 unless another price has been agreed in writing.

AJ FlowWorks may offer introductory or promotional pricing, including the Founding Client Offer displayed on the website.

Any promotional price is subject to the eligibility, availability and scope stated when the offer is made.

The current Founding Client Offer is £399 for the agreed Business Starter System scope and is intended for the first three eligible founding client businesses.

Unless otherwise agreed in writing, payment for the £399 Founding Client package is:

• 50% (£199.50) before implementation begins
• 50% (£199.50) when the agreed system has been delivered

Work will normally begin after the initial payment has been received and the project requirements have been agreed.

The agreed price covers only the services and functionality included in the agreed project scope.

Unless specifically included in writing, the following are not automatically included in the standard Business Starter System:

• Unlimited bespoke software development
• Unlimited revisions or redesign requests
• Complex third-party integrations
• Third-party subscription charges
• SMS, WhatsApp or telecommunications usage charges
• Domain registration or third-party hosting fees
• Large-scale data migration
• Work requested after the agreed project scope has been completed

Additional work may be quoted separately before it is undertaken.

Customers are responsible for providing accurate information and reasonable cooperation required to complete the agreed work.

This may include providing business information, content, branding, workflow requirements, feedback and access to authorised third-party services where necessary.

Customers should not provide passwords or other security credentials through ordinary email or enquiry forms unless a secure method has specifically been agreed.

Any estimated delivery date or implementation period will depend on the agreed project scope and the customer providing required information and feedback in a timely manner.

AJ FlowWorks will communicate material changes to an agreed delivery schedule where reasonably possible.

If a customer requests work outside the agreed scope, AJ FlowWorks may provide a separate quotation or agree an additional charge before carrying out that work.

Significant changes to requirements may also affect the expected delivery schedule.

FlowCare is an optional ongoing support service currently advertised at £149 per month unless another price is agreed in writing.

The exact support included in FlowCare should be confirmed when the service is purchased. Major new development, substantial redesigns or significant new integrations may require a separate quotation.

AJ FlowWorks systems may rely on third-party technology providers for services such as hosting, databases, authentication, email delivery, communications or other infrastructure.

Third-party services may be subject to their own terms, pricing, availability and technical limitations.

AJ FlowWorks does not control third-party platforms and cannot guarantee that an external provider will operate without interruption.

Unless otherwise agreed in writing, each party retains ownership of intellectual property it owned before the project.

Customers retain ownership of their business information, branding and content supplied to AJ FlowWorks.

AJ FlowWorks retains ownership of its pre-existing methods, templates, reusable components, know-how and general system frameworks.

Any specific ownership or licence terms for bespoke project materials may be confirmed in the applicable quotation or project agreement.

AJ FlowWorks will take reasonable care with non-public business information provided by customers for the purpose of delivering services.

Customers are also expected to respect confidential AJ FlowWorks information that may be shared during a project.

Personal information is handled in accordance with the AJ FlowWorks Privacy Policy and applicable data protection requirements.

Cancellation and refund arrangements may depend on the project stage, the work already completed and any costs already incurred.

Where a customer wishes to cancel a project, they should contact AJ FlowWorks as soon as possible.

Any mandatory rights available under applicable law are not excluded by these Terms.

AJ FlowWorks aims to improve business organisation and administrative workflows, but business results depend on many factors outside our control.

We therefore do not guarantee specific revenue, profit, customer numbers, sales results or other commercial outcomes from using an AJ FlowWorks service.

Nothing in these Terms excludes or limits liability where doing so would be unlawful.

Subject to applicable law, AJ FlowWorks is not responsible for indirect or consequential losses resulting from matters outside its reasonable control, including failures of third-party services.

Any additional limitations that apply to a particular commercial project may be stated in the relevant quotation or agreement.

AJ FlowWorks may update these Terms as its services develop or where changes are needed for operational or legal reasons.

The latest version will be published on this page with the relevant revision date.

The governing law and jurisdiction applying to a customer agreement will depend on the legal status and contracting arrangements of AJ FlowWorks at the time the service is supplied.

The applicable position should be confirmed in the final commercial terms before AJ FlowWorks begins accepting paying customers.
